VEKA maintenance and inspection certificates

All maintenance and inspection certificates must be sent to VEKA

Attention

From 1 January 2024, it is mandatory to register an inspection or maintenance of a central heating system with the VEKA (Flemish Energy and Climate Agency). Each inspection or maintenance must be reported within 30 days of execution.

This module is specifically for certificates created after September 1, 2024.

This module facilitates the mandatory reporting to VEKA for our users, both technicians and administrators, to the Flemish government.

What are the advantages of sending your VEKA certificates via climapulse instead of sending them manually?

  • Convenience: Smooth reporting of your maintenance or inspection, and automatic reminders.
  • Flexibility: Both technicians and administrators can forward certificates.
  • Efficiency: No more double work, register once in Climapulse and forward quickly.

Where can you find the VEKA module?

You can find your maintenance and inspection certificates under Reports in the left menu. When you open this section, you will see a tab for Flanders at the top and next to it there is a separate tab for forwarded certificates.

 

Requirements

1. Recognition number

The technician is responsible for reporting to VEKA and is based on the recognition number on the certificate (G1/G2).

Therefore, ensure that the recognition number has been correctly entered in Climapulse before you start forwarding a maintenance or inspection of a heating appliance. Without the correct recognition number, the notification cannot be made and you will see an error message.

2. Registration

When registering maintenance, it is essential to first verify whether the region of your installation is set correctly. For an installation in Flanders, select “Region Flanders” and for an installation in Brussels, select “Region Brussels”. The selected region determines how the certificate is drawn up within Climapulse, because certificates for Brussels look different than those for Flanders.

3. Inspection

After registering maintenance or inspection on a heating appliance, the VEKA module will automatically generate a report with all eligible notifications, such as the Flanders region. You can find this in the ‘Not forwarded’ tab.

 

Common error messages

The specified recognition number does not exist

The recognition number registered in Climapulse is not valid. Please adjust the recognition number in Climapulse as it is known to the Flemish government (see list)

Unexpected system error. Error id: 6107f2ec-0a38-41a0-80bd-16907e3eeee0

The VEKA interface is temporarily unavailable. Please try again later. If this problem persists, please contact VEKA.

Burner technology must not be entered for fuel type Heating Oil.

The maintenance or inspection data is not filled in consistently. A burner technology (e.g. Premix) is selected while the fuel type is heating oil.

The specified approval number is not approved for the fuel type

The recognition number registered in Climapulse does not match the maintenance carried out (e.g. Natural gas and burner technology Not premix (G1))

Other possible error messages:

Burner type is required!
Maximum power is invalid!
Technician's certificate not in order!
Your certificate is not in order!
Year of manufacture is invalid!
