Manage installations

Not all installations are the same. Yet they have much in common. Discover the general properties and functionalities.

Add an installation

The easiest method is to go to Installations in the menu and press the New button.

An alternative approach is as follows:

  1. Search for the customer and add it if it does not exist yet.
  2. Search within the customer for the location and add it if necessary.
  3. Search within the customer’s buildings for the installation and add it if it does not exist yet.

Although this method may seem a bit more cumbersome, it has advantages in a team environment. You can identify previously entered errors more quickly and avoid duplicate data more easily.

You will automatically be notified if a serial number has already been registered.

Basic properties

Each installation, regardless of the type of installation, has the following information:

  • The location.
  • An optional building at that location.
  • A reference or name.
  • An optional reference as applied by the customer.
  • The function or purpose of the installation.
  • A unique token, automatically assigned by the application.
 

To installation, you only need to indicate the correct location and enter the reference or name of the system.

The Location field is not a text field, but an intelligent selection list. In the field, you enter the customer name and/or address, and then select the correct location from the list.

Location

The location or region determines which regulations or form must be applied to the installation. You can always correct the location afterwards, but not the forms that have already been filled in.

Buildings are usually only relevant for the energy inspection of buildings, or on large sites.

Reference

The reference is the name of the installation in Climapulse. Make sure that it is as unique as possible. For practical reasons, the application will not prohibit you from using a reference multiple times, so make sure you have a convention, such as a combination of postcode, house number and brand.

The “Customer Reference” field allows you to apply the customer’s internal naming without compromising your naming. If filled in, this will also be the primary way to identify the installation in the customer portal. This way, you don’t have to wonder which installation the customer means when they request an intervention with their name.

Details

With every installation you open, you will find various tabs with important information:

  • Data: Basic data of the installation.
  • Installation sheet: Add components here such as basic sheet, condenser, indoor unit, outdoor unit, etc. and fill in additional data that can be used later for creating a license plate.
  • Activities: An overview of all relevant actions, orders and measurements – in other words, the installation logbook.
  • Leakage loss: Overview and history of the leakage loss of the installation.
  • Appointments: Here you will find the scheduled appointments and orders for the installation.
  • Feedback: Receive feedback from the technician planning tool.
  • History: A detailed overview of all changes made.
  • Attachments: Always have manuals, photos and other documents at hand.

Filter installations

Installations play a central role in Climapulse. Select the ‘Installations’ tab in the left menu to see an overview of all your installations. On this page you will find various functions, including the search and filter option. This allows you to search for installations based on reference name, customer name and municipality. You can also refine the list by specific criteria, such as type, model, brand, label or refrigerant. This way you can quickly and specifically find the installation you are looking for and you can keep your administration efficient.

Assigning a label to an installation

Labels allow you to categorize installations.based on status, characteristics or other points of interest. This makes important information immediately visible. Read the article “labels” for more details on creating a label for an installation.

Change or delete an installation

To change an installation, press your pencil and you can make the necessary changes.

Deleting an installation is usually not the right answer. Only if the installation has been entered twice or is not applicable at all, you should proceed to deleting it.

Info

Climapulse does not allow the deletion of installations on which work has been carried out, so that the history of all actions remains available at all times. Select “Archive” if you no longer want to display an installation in your list.

Installations copy

You can easily copy an existing installation, with the option to also copy the attachments. Make sure you enter the unique data of the new installation correctly.

Advice

Add an internal client to which you can link standard installations. If you place a new installation like this, you can simply copy the template for it and link it to the correct customer.
