Sign and send documents

Put an end to your paperwork by having Climapulse generate work orders and certificates.

Carrying out an assignment also involves drawing up and delivering the corresponding documents. Climapulse Service makes this easy by allowing you to automatically generate certificates and work orders. You can immediately download a PDF version of them.

But in addition to downloading, you typically also want to have the documents signed by the customer and deliver them to them digitally immediately.

Documents of an assignment

You can find the available documents with the assignment. Immediately after saving an assignment, the following screen appears and the documents can be signed or sent immediately.

Sign certificates and work orders

If the order has already been completed, it can also be signed and sent afterwards. Search for the assignment via the logbook in the left menu bar of your Climapulse account or go to the work tab of the installation. Once you have found the relevant work order, click on the eye to view the details.

  1. Click on the Documents tab.
  2. Select the desired documents.
  3. Click on the button with the desired action:
    • Download
    • Sign
    • Send
 

 

When signing, you must first enter the name of the signatory. Then press Start signing to let the customer view the documents and place their signature.

You can enter the names of contacts of a location or customer by simply pressing their name. If you have a permanent contact person, it is best to register them as such with the customer or location.

For certificates for a classic heating system, you will typically have to sign yourself first. You can choose to save that signature so that you do not have to repeat it in the future. You can also do this via your Profile.

Sending certificates and work orders

When sending documents, you indicate who should receive the documents and compose an e-mail message. Press Send to deliver the message to the selected addresses.

You can enter the addresses of contacts from a location or customer by simply pressing their name.

Most of the time, your message will be the same. Sometimes you want to include a special note, for example because a repair or additional check is required. To ensure that all your messages are consistent and correct, you can use email templates. Administrators can add or change templates via Configuration, which can then be applied with the push of a button when you send documents.

Installation data in documents

To avoid having to repeat things every time, Climapulse will fill in the installation data in documents such as work orders itself where useful and possible. It uses the latest version of the installation data at the time the order was marked as Completed. If you want to include a different version of the installation data in the documents of an order, you can change this under the Documents tab.
