Managing shares

With an active connection, you can now share specific data via shares. A share determines which set of information is transferred and makes it possible to precisely control access to this data. This can be done at three levels: customer, location or installation.

Request Share

Navigate to the connection that was set up and press Request Share. Enter a reference name, which is separate from the connection name. This can be a customer name, an installation or a building, for example.

LET OP

This name is visible to the other party.

 

Then choose the level of transfer. If you choose to share at:

  • Customer level: All customer data is shared, including all locations, installations and work orders.
  • Location level: All data of a specific customer location is shared, including the associated buildings, installations and work orders.
  • Installation level: The installation is shared including all work orders of that installation.

Evaluate share

Once you have submitted the share request, the other party will receive a notification in their inbox. They can evaluate the request and approve or reject it. During this evaluation, the other party has the option to indicate which data exactly may be shared. This means that if you have requested a complete customer, for example, the other party can choose to share only a specific location or installation.

After approving the request, you will be redirected to a selection screen:

  • If you chose Installation, you can select the desired installations.
  • If you chose Location, you will be redirected to the list of customers. Navigate to the desired customers and select the desired location(s).
  • If you chose Customer, you can select one or more customers from your customer menu.
 

 

 

At the top of the selection screen, press Continue when your selection is complete.

The next screen asks you to confirm sharing data. To be sure, check the selected data again.

In addition, the type of access can be set by selecting a role, such as Installation Manager, Subcontractor or Borrowed. For some roles, such as Subcontractor and Borrowed, there is an additional option that determines whether future work will be performed under your name.

 

 

 

  • Installation Manager: The requesting party can grant access to other parties without restrictions. This is the ideal setting for connected businesses. Access can be revoked up to 72 hours after granting.

 

  • Subcontractor: A subcontractor can only share the installation data with other subcontractors or lend access. You can revoke this access at any time. You have the additional option to have the company data of your account printed on the work orders and certificates that result from the assignments carried out by the subcontractor during this access. It goes without saying that this is the ideal setting for subcontractors.

 

  • Borrowed: Here too, you have the option to have your company data applied to work orders and certificates for the shared installations. The main difference with subcontractors is that access cannot be granted to other accounts. This is ideal for sporadic intervention by a third party. Your subcontractors can also call on subcontractors and therefore require a little more freedom.

So think carefully about the type of access you will grant. The only way to change this access is to revoke it and start over.

Type 'Operator'

This option is only available if the receiving party has a Climapulse Connect account. The operator of the installation will then have access to their logbooks and can share the data with any other party.

 

After your confirmation, the selected data will be made available to the requesting party.

Processing

When the other party has approved the shared data, the requesting party will receive a notification in the Inbox. You process the share by first selecting which data you want to take over. This helps to avoid duplicate data.

 

Depending on the type of share, you choose the right approach:

  • with a customer share, the entire customer data is transferred.
  • With a location share, it must be determined whether the location falls under an existing customer or whether a new customer must be created.
  • With an installation share, the installation must be placed in the correct location, or a new location must be created.

After you have used the correct approach and processed the selected data in your account, you confirm the import.

CAUTION

After you have confirmed the data, you will automatically be redirected back to the processing screen. You do not need to perform this step again. Depending on the amount of shared data, it may take a few minutes for everything to be processed in your account. Refresh the page occasionally until you see the confirmation.
